Count what is supported, assigned, and billable separately

A discovered endpoint is not necessarily covered by your contract, assigned to a current user, or billable in the current period. Give each asset a stable reference and separate physical inventory from the support entitlement. For licenses, record the unit of entitlement, quantity, allocation, and renewal window before comparing totals. An inventory worksheet answers what exists; a lifecycle plan answers what needs a decision; a reconciliation sheet explains the gap between different sources. Date each export and nominate an owner for exceptions so a stale snapshot is not mistaken for a live system.

Can I store device access details in the workbook?

Do not store passwords, recovery keys, tokens, or privileged access instructions. Link to an authorized internal reference instead. Apply customer separation and access controls to any asset data you export.
